1. Who we are
This Privacy Policy explains how Quelyx Inc. ("Quelyx", "we", "us", or "our") collects, uses, and protects information in connection with our AI-powered intake platform for freight operations (the "Service").
Our Service helps freight forwarders, NVOCCs, and 3PLs turn unstructured freight documents (such as booking requests, bills of lading, invoices, and pre-alerts) into structured shipment data.

2. Scope
This Policy applies to:
- Visitors to our website (quelyx.com and related pages)
- Users of the Service (including pilots and production use)
- Individuals whose information may appear in freight documents processed by Quelyx on behalf of our customers ("Customer Data")
When we process Customer Data, we do so as a processor/service provider on behalf of our customers, who act as the controller/business for that data.
3. Information we collect
We collect information in three main categories:
3.1 Information you provide directly
- Account and contact details. Name, work email, company name, role, and similar information when you request a pilot, book a demo, or contact us.
- Pilot and onboarding information. Estimated document volumes, TMS providers (e.g., CargoWise, Magaya, in-house systems), lanes, and operational notes you share as part of a pilot or sales process.
- Support communications. Messages and attachments you send to us via email or in-product support channels.
3.2 Customer Data sent into the Service
Our customers may route freight-related documents to Quelyx, such as:
- Booking requests
- Bills of lading (BOLs)
- Commercial invoices
- Pre-alerts and similar shipment documents
- Emails and attachments containing shipment details and instructions
These documents may include:
- Company and contact details of shippers, consignees, and carriers
- Shipment details (containers, ports, routes, HS codes, hazmat information, etc.)
- Limited personal data (e.g., names, business contact details, signatures) associated with commercial shipments
We process Customer Data solely to provide and improve the Service to our customers, in accordance with their instructions.
3.3 Automatically collected information
When you visit our website or use the Service, we may automatically collect:
- Usage data: pages visited, features used, clicks, timestamps, and similar activity metrics.
- Device and technical data: browser type, operating system, IP address, and basic device identifiers.
- Cookies and similar technologies: to maintain sessions, remember preferences, and analyze usage patterns. You can control cookies via your browser settings, but some features may not work correctly if cookies are disabled.
4. How we use information
We use information for the following purposes:
- To provide and operate the Service. Processing freight documents into structured shipment data, displaying extracted fields and audit trails in the UI, and maintaining secure access and permissions.
- To improve accuracy and performance. Monitoring extraction quality and error patterns, tuning schemas and validation rules, and developing new features for freight-specific document types.
- To support and communicate with you. Responding to demo requests, support tickets, or technical issues, and sending important notices about security, availability, or policy changes.
- To comply with legal and security obligations. Detecting and preventing abuse, fraud, or misuse of the Service, and complying with applicable laws, regulations, and lawful requests.
We do not sell personal information.
5. Use of AI and third-party processors
Quelyx uses third-party infrastructure and AI providers ("Subprocessors") to deliver the Service. These may include:
- Cloud infrastructure providers for hosting and storage
- AI model providers used to extract structured data
- Email and logging providers used for communication
We:
- Limit Subprocessors to those necessary for delivering and improving the Service
- Put contractual safeguards in place (such as data protection agreements)
- Restrict Subprocessors' use of Customer Data to performing services on our behalf
We do not use Customer Data to train public, general-purpose AI models. Any model improvements or tuning we perform are done under strict controls and only in accordance with our agreements with customers.
6. Legal bases
Where applicable law requires a legal basis (for example, in the EEA or UK), we rely on:
- Performance of a contract – to operate the Service and fulfill our obligations to customers.
- Legitimate interests – to secure and improve the Service, prevent abuse, and support operations.
- Consent – for specific optional uses, where we ask for it.
Customers are responsible for establishing appropriate legal bases for their own use of Customer Data with Quelyx.
7. Data retention
We retain information for as long as necessary to provide the Service, support pilots, comply with legal obligations, resolve disputes, and enforce agreements.
Retention for Customer Data may be governed by customer configuration and instructions, contractual retention periods, and regulatory requirements applicable to the customer.
We aim to support reasonable retention and deletion requests from customers, including document-level or account-level deletion where technically feasible.
8. Security
We implement technical and organizational security measures designed to protect information, including:
- Encryption in transit and at rest
- Segregated environments for test and production
- Access controls and role-based permissions
- Logging and auditing of key system actions
No system can be guaranteed 100% secure, but we continually improve our controls to align with industry best practices and SOC 2–style requirements.
9. Your rights
Depending on where you live, you may have rights such as access, correction, deletion or restriction of certain processing, objection to some uses of your information, and data portability.
For Customer Data contained in freight documents, we generally act as a processor. In that case, you should direct your request to the relevant Quelyx customer (for example, your freight forwarder or 3PL), and we will support them in fulfilling that request where required.

10. Children
The Service is designed for business users in freight and logistics and is not intended for children under 16. We do not knowingly collect personal information from children.
11. International transfers
We may process and store information in countries other than where it was collected, including Canada, the United States, and other jurisdictions where our Subprocessors operate.
Where required, we use appropriate safeguards (such as standard contractual clauses) to protect personal information when it is transferred across borders.
12. Changes to this Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top and, where appropriate, provide additional notice (such as via the Service or email).
